AI chatbot for events: what to look for when choosing one

A checklist for organizers considering an AI chatbot for their event: access, event data, customization, interaction, privacy and integration.

Why an AI chatbot at your event

Attendees have lots of small questions during an event: where is the room, what is the catering, when does the next session start. An AI chatbot answers those questions in plain language, the moment they come up.

Not every chatbot fits an event. The points below help you make a deliberate choice.

Checklist: what to look for

Ask every provider these questions:

  • Access: do attendees need to download an app, or does it work in the browser via a URL or QR code?
  • Event data: can you provide the program, speakers, venue, practical info and FAQ yourself as the basis for answers?
  • Customization: can you match the name, look and tone of voice to your event?
  • Personal advice: does the chatbot only give factual answers, or also advice on workshops and networking?
  • Interaction: are polls, Q&A and quizzes in the same environment, or do you need separate tools?
  • Integration: is the chatbot standalone, or part of a wider event hub with programs and evaluations?
  • Privacy: which attendee data does the chatbot use, and who decides that?

How Robin measures up

Robin works in the browser via a URL or QR code, without an app download. You feed Robin your event data, and the more information you provide, the more specific Robin helps.

Robin gets its own name, look and tone of voice, is chat-first and includes polls, Q&A and quizzes. Robin is a module on the PresentersWall event hub, next to personalised programs, evaluations, ContentWalls and networking chat.
